Though a fundamental asset to your real estate business, answering your cell phone can sometimes be a hazard to both your health and business. Ever caught yourself swerving on the road to pick up that phone call on the highway? I’ve done it; I’ll be honest. What’s a better way to respond to phone calls?
To Answer Or Not To Answer
Your cell phone should only contain calls that are from unknown numbers through lead generation efforts. This is so that you can answer these calls quickly and convert them to an appointment no matter where you are. The hidden prerequisite to your business greeting, however, should actually be a thought to yourself. A question that will ensure that your mindset is correct before attempting an “at-bat”.
My broker once told me that there is no reason to step up to the plate if you do not intend on knocking it out of the park. Unless you are a multi-tasking genius, do you realistic expect to convert that sign call made to your cell phone while driving “speed limit” to your next appointment? I’d think not; perhaps this call should be better left unanswered. Perhaps you shouldn’t answer at all!
Did I just commit a crime? No. Rather, I’m putting myself in a position to be able to return my calls in a timely manner at a time that is more convenient to satisfying my clients needs. If I’m driving a car and get a website call regarding a property found in my MLS search, I’m obviously not going to be able to answer their questions. When I’m not able to give the client what they need, my conversion ratios will drop significantly.
Prioritize and Funnel Your Calls
Your cell phone should only be listed on advertisements, listings signs, websites, and any other form of advertisement you can cook up. After you have gone into a business relationship with a client, make sure to set the expectation that you would like for them to contact you at the office. On your office phone, leave a voice mail (updated daily if possible) with the times you expect to be returning calls.
Setting expectations with your clients will allow you to avoid conflict, as conflict only arise when expectations differ.
I would also advise for you to ensure that all calls are returned within the business day. If the call comes in after business hours, simply return the call the next business morning. I wouldn’t worry too much about after hour calls; any problems will be waiting for you when you get back.

Personally I try to always answer my phone. People would rather a person answer and say that they will have to get back to them then to have to leave a message. To many times if I can’t get to a call the person doesn’t leave a message and that could have cost me thousands in commissions.
