CRM Spotlight: Top Producer 8i

Top Producer has been a leading CRM product for real estate agents for quite some time now, and their latest suite of products and focus have kept them ripe with the latest trends and technologies useful for any real estate business.

You’re probably going to want your database to be accessible everywhere; in the office, in the car, at a listing appointment, during a showing tour – everywhere. You may need to quickly look up a phone number for a client you forgot to call, or perhaps schedule a hot showing for a buyer you just found that would absolutely love one of your listings.

Either way, having access to your database should be one of the key features you look for in your next real estate database. Here’s an intro video on what Top Producer is and what you can expect from it.

Follow Up with Action Plans

Simple having a database won’t propel you past this year’s production goals – you’ll need to proactively follow up with all your contacts in your database. A contact in your database that does not have at least one follow up activity assigned is completely worthless. Top Producer solves this using their Action Plans feature. Here, you’ll be able to create customized action plans for any particular event and assign this plan to a contact of your choosing.

A contact in your database that does not have at least one follow up activity assigned is completely worthless.

Say for example, you’d like to follow up with a client immediately after selling their home. You probably have an idea on the frequency and type of communication you’d like to use to keep in touch. A few days after closing escrow, you call and make sure all is well. A week afterwards, you thank them again for being such an awesome client and let them know you’ll stay in touch. Then a year after their closing, you follow up and congratulate them on their 1 year anniversary and send them a nice gift.

Why would you store this plan in your head, which in my case lacks long term memory support, when Top Producer can easily implement it for you? You create your action plan, then have this plan available anytime you need to follow up on a closing. On the day you’d normally call a client (a few days later in this instance) your Top Producer calendar will have the activity listed ready for you tackle.

The Hidden Benefit
Setting and forgetting, my friend. It’s that simple. When you free your mind of having to remember all the tiny details of your business, you’re free to improve your skills with prospecting and lead generation, brainstorm your next marketing piece, or actually remember your significant other’s birthday. You see? You’re not the only one that benefits!

Marketing. Lots and Lots of It.

There’s one thing that Top Producer has no shortage of, and that’s marketing pieces. When you activate your Top Producer license, your account comes jam packed with material you can use for any client. You’ll have a library complete with flyers, letters, email templates; you name it.

While a majority of this you’ll want to customize for your business, a surprisingly majority of it is ready-to-use immediately. In fact, you’ll probably want to start off with the default piece so you know what works and what doesn’t. If a particular flyer doesn’t jive with your clients, you can easily change it using their built in editor.

    Steve,

Thanks for the reviews. Read a post from awhile back talking about HIghrise CRM as an alternative to Top Producer (for the all the commonlyknown reasons).

What are your thoughts on that today?

I am still not comfortable with Top Producer and not sure if I should seek an alternative.

    Thanks

Unfortunately, Top Producer is still quite complicated. It’s a culmination of years and years of features that the devs have added with each previous version, and in 8i they’ve only began to work on UI issues and ease-of-use.

It could definitely use more work, but it’s on the right track. This is the only reason I still consider Highrise a good alternative. If you have the capital to hire a developer to tie in your website lead generation activities with Highrise, along with Highrise marketing partners, I think you can possibly have a solid CRM.
